Description

We’re looking for a reliable and detail-driven Accounts Payable Specialist to manage and support day-to-day payables operations. This role is ideal for someone who thrives in a remote, asynchronous environment, values clear communication, and takes pride in keeping financial processes accurate, organized, and on time.

You’ll play a key role in ensuring vendors are paid correctly and promptly, financial records are clean, and internal stakeholders have clear visibility into outgoing payments.

Job responsibilities

- Process and manage vendor invoices accurately and on time using QuickBooks, Xero, or similar accounting software.
- Match invoices to purchase orders, contracts, or approvals and resolve discrepancies as needed.
- Manage payment runs, including ACH, wire transfers, and other approved payment methods.
- Reconcile accounts payable transactions and vendor statements to ensure accuracy and completeness.
- Identify, investigate, and correct duplicate, missing, or incorrectly coded invoices or payments.
- Maintain organized records of invoices, approvals, and payment documentation.
- Draft clear payment summaries and communicate invoice status and findings to vendors and internal stakeholders.
- Collaborate with internal teams to improve AP workflows, approvals, and documentation processes.
- Exercise sound judgment when prioritizing payments and managing deadlines while maintaining strong internal controls.
- Maintain proactive, transparent communication — over-communicating when needed to avoid delays or confusion.

Requirements

- 3–5+ years of Accounts Payable or related accounting experience (required).
- Proficiency in QuickBooks, Xero, or similar accounting platforms (required).
- Strong attention to detail and accuracy with excellent reconciliation skills.
- Ability to manage multiple priorities and deadlines in a fully remote, flexible work environment.
- Significant experience working remotely, ideally in asynchronous and autonomous teams.
- Self-starter with strong ownership and accountability for deliverables.
- Transparent, ethical, and always acting in the best interest of the business and vendors.
- Curious, adaptable, and comfortable learning new tools and evolving processes.
- Strong written communication skills and confidence interacting with vendors and internal teams.
- CPA, CA, or equivalent credential is a plus but not required.
