Description
We are seeking a highly organized and proactive Executive Assistant / Personal Assistant / Virtual Assistant to provide comprehensive administrative and operational support to a senior executive (CEO or equivalent). This role is ideal for someone who thrives in a fast-paced environment, enjoys taking ownership, and excels at anticipating needs before they arise.
You will act as a trusted partner to the executive, helping streamline daily operations, manage communications, and support both internal and external stakeholders.

Job responsibilities
- Provide high-level administrative and operational support to the CEO or senior executive.
- Manage calendars, appointments, meetings, and travel arrangements across time zones.
- Serve as a primary point of contact for clients, partners, and stakeholders, ensuring all communications are handled professionally and promptly.
- Draft, proofread, and manage written and verbal correspondence with exceptional accuracy and clarity.
- Prepare meeting agendas, presentations, reports, and follow-up action items.
- Maintain well-organized systems for documentation, files, and project tracking.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist with creating, managing, and tracking invoices and contracts (experience a plus).
- Support coordination between the executive and internal teams as well as external vendors or partners.
- Proactively identify opportunities to improve efficiency, workflows, and executive productivity.
- Support ad-hoc tasks such as sales outreach, data entry, social media messaging, and light marketing coordination as needed.

Requirements
- 1–2 years of experience in a similar role is a strong advantage.
- Proven experience as an Executive Assistant, Personal Assistant, Virtual Assistant, or in a comparable administrative support role.
- Exceptional written and spoken English communication skills. - Must
- Strong organizational and time-management skills with excellent attention to detail.
- Ability to manage multiple priorities independently with minimal supervision.
- Confident, polished, and professional when interacting with clients and stakeholders.
- Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Drive, Calendar).
- Tech-savvy, with the ability to quickly learn new tools, platforms, and systems.
- Strong problem-solving skills and a proactive, solutions-oriented mindset.
- Flexible, adaptable, and eager to learn in a dynamic environment.
- Experience with invoice creation, contracts, or basic financial administration is a plus.
